One of the reasons to use a request for information template is so your company is sending out a consistent message to its third party vendors. This is very important so the message you are sending is received as it was meant to be interpreted.

The use of a request for information template for creating this formal document will bring the consistency your business needs so what you have requested will be answered correctly. The details inside your request need to be precise and accurate with no ambiguity so there will be no misinterpretations on the side of the recipients.

Another very good reason to use a request for information template when creating this document is the speed in which it can be created will be increased. Speed during the planning of a project is important. It is also very important to be accurate. With the template you will have a guide that will help you layout t what has to be said and in the correct order so those receiving it will fully understand what you need and when you need it. Since it will be sent out at the beginning of the project planning process, you will be dependent on the responses for the completion of your project plan.

For the business that receive your request for information, by being consistent, with the formatting and placing of the data, they will know where to look for the information that pertains to them instantly. This will decrease their response time and reduce any ambiguity by them.

Not only does the request for information includes what you need form a third party vendor but also the specifics in the details on how you need it and the time frame in which a response and delivery of the material will be needed.

The request for information (RFI) is a formal document sent out to locate data and knowledge a business does not current have, but wishes to possess. The main reason for this document is to give your business an edge in dealing with third party vendors. The more you know about them and how they operate, along with what they have available, the better chances you have at making any exchange work in your favor.

In the business world, knowledge is power and the request for information is the most common process for acquiring this knowledge. This process is initiated by the creation of the RFI document. This can be successfully accomplished by the project manager looking at a sample, or using a project management template program that is in use at their place of business.

In the template for the creation of a request for information, there will be a section that will allow you to describe in detail your company’s needs from a supplier. This document will also include a section on the current procurement process utilized by your business. These needs to be written in plain and clear language, so no ambiguity can occur during the acquisition of services or goods from a third party vendor.

Another necessary component that should be included in a request for information are the specific rules and timeframe your company is willing to work with, when dealing with a third party vendor. As an example, if you need a component from a supplier on a specific date, the range of this date can be set at no exceptions for it being late, or a 24 hour delay will be acceptable. For smoothness of running a project, all raw materials should be acquired one week in advance so that if a delay occurs, it will not hinder the progress of your project. This can also be used as the timeframe for allowance that is given to a third party vendor.

The request for information is a very useful document that can help a business better deal with their suppliers. The end result could give your business that competitive edge that is needed in the new global market place.

With a request for information being sent by a company, they are informing the recipients that they are in search of a supplier of certain goods or services. This by no means is a promise to pay for any goods or even a proposal for goods, just the need for information.

The formal request for information is just as it sounds, it is a polite way of asking what is available, for what price and when can it be delivered. This type of document can be easily made with the help of a template. This template can be found in many of the project management office programs that are widely available on the market.

The reason a template from this type of program is recommended is because the request for information is not the last form that will be required to obtain the necessary goods or services that all projects need during their execution phase.

Along with the request for information, the other form that will be needed is the Request for Proposal. This is the one that specifically indicates that a payment will be made and that a delivery of specified goods or services will be paid for. When a project management office program is purchased, it will contain templates for both forms. This allows for consistency in appearance to be established with the recipient of the forms.

The template used for the request for information is preformatted so all the user has to do if fill in the required information. This will include specifically what is needed. It should also contain exactly who is asking for this information. This allows for the respondents to give a more accurate response to your request.

Once a number of requests for information have been returned a company, they can make an informed decision on which supplier of what they need, will be best for them to use. Once the decision is made then the Request for Proposals can be sent out and the information included in the scheduling of the materials.

The document called the request for information (RFI) is a formal but non-committal submission to a third party vendor on the need for information to assist with a company’s project or business needs.

This is a mechanism that businesses can use to locate information on a particular subject that they are in need of. A request for information document is sometimes the first contact between two different businesses that may lead to a further business deal, but not in every instance.

The reason an RFI is sent out is so an informed decision can be made on a subject matter that there is little to no knowledge in the company at the present time. In some instances it is an inquiry to gain updated information when there is a possibility that the current data a business has might be out of date.

After the initial contact is made with a request for information, there may be further contact that takes place were interaction between the business is to take place. This further contact can be in the form of a request for proposal (RFP). This is a formal invitation for a company to submit in writing what their company will do for the business making the inquiry as part of a bidding process. This allows for a company to weigh the advantages and risks of doing business with this third party vendor.

Another common document that can follow a request for information is a request for tender (RFT). This is general what is sent out by a governmental agency and is less rigid in its structure than a RFP. This kind of request is open to all suppliers to make a submission on what they can provide to meet the needs of the proposal.

The last kind of document that may follow a request for information is a request for quotation (RFQ) or invitation to bid (IFB). This is a more in depth description of what will be supplied and for what price. Also included generally is the payment options, if any that are available.

The request for information is like the first feeler of a company’s intentions to do business with a third party vendor for supplies or services that are needed.

One of the acronyms for RFI is a reference to a request for information. This is a standard practice in business to collect information that is needed on a particular subject matter. The request itself is usually in the form of a written document that has a set format. This is done so the responses can be competitively compared.

The RFI is primarily an information-gathering device businesses use to find out what is available to them that can be used in their business. The information that is sent out in response to one of these is generally information that is publicly available. Proprietary information and details are generally reserved for later communications, if so desired.

An RFI document is at times sent out alone. There are other instances where a RFP or request for proposal, a RFT or request for tender, or a RFQ or request for quotation accompanies the request for information document. When this is done, it is a clear indication that some sort of interaction between the two businesses could occur.

If just a RFI is sent out, most of the time it is sent to many prospective suppliers. The responses will then be compared so the best decision on the product concerning cost, quality, and availability can be determined. In many cases, there is a section on the request that is to be filled out. This is formatted so an easy comparison can be made on the different statistics that were requested on the product or services.

What a RFI does not include is any indication that a contract or award of business will certainly follow any response. This is only a request for information that might lead to a business interaction, but no guarantee that it will.

An RFI is generally done in the planning stage of a project when information is needed that is not obtainable by other means. This can include purchasing options of a product, its specifications, and any product requirements that may be needed to use it.

At first glance, the words “terms of reference” appear to be a vague description of an informational source. This could not be farther from the truth. This is a specific description of the set purpose for a committee, negotiations between different parties, meeting, or project of a group of individuals that have decided on achieving a goal together. In a business plan, this is referred to as the Project Charter.

In the terms of reference, how the scope of a project will be defined is described, along with how it will progress until the conclusion is verified. Every step of this process should be properly documented so reference to it can be accomplished in the future. This is where attention to detail is crucial.

Specific definitions that need to be defined are to be created, the overall objectives in creating this project, and how it is to be achieved. This is to be fully documented with no ambiguity on any point. If during the review there are any questions or confusion, it should be cleared up in writing so all parties included fully understand what is to transpire in the future.

Who is to be involved and to what degree is also part of the terms of reference. Clearly defining the roles, whether active involvement or passive involvement, should be documented and agreed to.

The resources responsibilities also needed to be defined so completion of the project can be properly funded. There will need to be a structured plan that is agreed to and approved by all parities so it will be known when the project is to have a deliverable.

The last part of terms of reference should be a list of risks and issues that could arise during the process and what will be done, and by whom, to overcome such obstacles.

Finally, after everything has been decided and agreed to, all involved parties should sign the document as evidence of the agreement.

When you encounter customers who ultimately want to have everything despite the fact that it is actually impossible to be given to them, project management templates may be a way to handle them. As a project manager, one must take the extreme caution when it comes to facing this kind of ordeal because if he won’t, chances are he will consume cost that is way above the budget. To stop this from happening, the application of a project management template may be considered.

Customers may sometimes be very demanding. It is inevitable when you are running a business or a project. The best thing you can do in this situation is to lay down the scope of the project for them using a project template and allow this to manage them. Here is what you need to do:

1. Hold a formal statement to your customers. Make your customers understand the statement of work you are actually offering and have an assurance that both of you gain mutual understanding about everything. If there are confusions, make sure that it has been dealt right away.

2. Create a draft project schedule. Prior to the meeting with your customers, create a draft schedule of the project that is primarily dependent on the statement of work. Present this to your customers during the discussion and allow them to fully understand it.

3. Provide discussions regarding the process of change orders. Change orders are essential during the time when the customers ask for things that are already outside of the agreed project scope. If you encounter a very demanding customer, chances are you will have to go through few changes in orders within the duration of the engagement. When you decide to do this, make sure that you properly explain this process to your customers so they will know that they are supposed to pay for the things that they want that are beyond the project scope.

4. Produce documentations. Create regular status reports so the project will be properly documented. This ensures that every detail is being written so it will be fully understood by the different people concerned. This also allows every project manager to keep track of the progress of the project.

Industry leader Method123 announces the release of their newest project management template – the Request for Information.

The Request for Information document is a tool used to provide potential suppliers with an opportunity to take part in the Invitation to Tendor process or Request for Proposal process. By issuing this document to potential suppliers, a company can hopefully get enough information to decide whether or not to include them in the overall process of seeking a supplier for the business or project needs.

Method123’s new Project Management Template will help an organization complete the request for information process smoothly and get them ready to move into the actual vendor selection process with confidence.

“All companies want to do everything they can to select the right suppliers for their needs. No one wants the headache of contracting with a supplier on a critical project only to find that they really can’t meet all of their needs,” states Jason Westland, co-founder and CEO of Method123 Ltd. “A request for information must be detailed because it’s your chance to tell the suppliers what you need from them. Our template will seamlessly guide you through the process of creating this critical piece of your overall project management methodology.”

With Method123’s project management template for the Request for Information document, the project manager will be able to:

- Define all of the needs from the potential suppliers
- Outline the procurement process for the suppliers
- Identify timeframes and rules for enlisting suppliers in the procurement process
- Make final selections of the right suppliers for the overall needs

The Request for Information template from Method123 is just one of more than fifty full featured templates offered as part of the company’s cornerstone product – the Project Management Kit.

“At Method123, we don’t think that any piece of the puzzle should be skipped just because it required too much time to put together,” says Westland. “But essentially that’s what happens every day on projects. Critical project planning documents are not produced because the project manager simply doesn’t have the time, tools or examples to create them. Well, with our templates we’re minimizing the time, giving them the tools, and providing the examples. Projects run smoother because of these templates.”

Indeed, Method123 stocks their templates full of features like tips and hints for creating the documents, detailed instructions to guide project managers and procurement specialists through the document creation process, and real world examples that helps even those less experienced individuals create the most professional and detailed documents possible. You’ll look like an experienced pro when you create your documents with Method123’s project management templates.

Method123’s Project Management Kit is used by companies in more than 200 countries around the world to enhance their overall project management methodology. And by continuing to release must have templates like the Request for Information template offering, the popularity of this suite is rising quickly.

The company that brought you the Project Management Kit stocked with over 50 key Project Management Templates has just announced the release of its new Project Review Form for the initiation phase of a project.

Method123’s latest offering will allow the user create this critical document directed at the project sponsor to let them know what objectives have been met as the project moves toward the planning phase.

As part of an overall Project Management Methodology, when the project team has completed a specific phase of the project, a project review is conducted. The general concept of the project review is to review the phase just completed – in this case the initiation phase – and check project progress. The objectives of the specific phase are reviewed to see if they have been met as part of the project team’s effort and progress on the phase.

This type of review and oversight allows the project sponsor a level of control over the progress of the project. It can help those making decisions on the project to know whether a phase is appropriately completed and that the project is ready to move on to the next phase.

“Our Project Review Form for the initiation phase of the project will allow the key decision makers to evaluate the project status and make the right decisions on moving forward,” says Jason Westland, CEO of Method123 Ltd. “With this form in place and properly utilized, a company is ensuring that nothing falls through the cracks before allowing the project to move on into the project planning phase.”

By conducting a formal project management review and measuring the team’s progress on deliverables produced for the initiation phase, those overseeing the project can complete this Phase Review Form and present it to the project sponsor for review and approval. This form ensures that the proper oversight has been performed and the key approvals are in place to allow the project to move forward. Likewise, if objectives are still outstanding, then the form has the ability to duly note that and thus requiring further work before the project can move on to the planning phase.

Specifically, this form will help you capture:

- Whether the project is currently on schedule
- If the project is on target in terms of budget status
- If risks are being identified and managed against
- What issues have come up and what actions were taken
- How the project is handling scope changes

Method123’s Project Management Kit contains similar forms for the completion of the planning and execution phases as well so all bases are covered for your project management template needs.

“The forms and templates contained in the Project Management Kit are invaluable to a company’s project planning process. They guide the Project Manager seamlessly through the completion of key project documents using built-in helps and tips along with detailed instructions,” states Westland. “We’ve done our best to include some real-world examples in each form and template to make completing these documents as easy as possible. Making project management easier is our top priority.”

New Project Management Templates Released for Change Request Form

Change on a project is inevitable. It happens whether your are adequately tracking it or not. In the long run, it’s critical to your project’s timeframe and budget success to do the best job you can tracking any and all project changes, and Method123 can help you do that through the use of the Change Request Form.
As Jason Westland, CEO of Method123 Ltd states, “The Change Request Form is the mechanism by which you and your team can easily and seamlessly document all project request. Change happens and change request forms should always be part of any project management methodology. Whether or not they get used, is another question. With Method123’s Change Request Form template you will now have the tool you need to track all changes and your team will have no excuses documenting all change requests because it’s so easy and built right into the Method123 Online Project Management process.”

The Method 123 Change Form not only enables the project team to fully document all changes, it also is setup to help them identify the business reasons behind each change request, show the potential costs and performance benefits of incorporating the change, accommodate change priority, and show how the the approval and implementation of the requested change will affect the project overall.

Some changes fall through the cracks in terms of tracking, only to affect everyone later on. Using the Change Form will help the Project Manager and project team avoid confusions and miscommunication by providing a formal process to identify upcoming changes before they happen, providing a more formalized approval process for each change, allow for more control over which changes are approved and scheduled, and provide a mechanism for monitoring the implementation of all tracked changes.

Unchecked and untracked changes lead to chaos on a project and no one knows that better than the experienced project manager. These impacts of rogue and unapproved changes are often seen in the form of schedule slippages on the Project Plan, budget overruns, and customer dissatisfaction – all of which can be avoided through use of the Change Request Form and thus greatly increasing your project’s likelihood for success.

The Method123 Project Management Templates Change Request Form is an incredible tool and will step you and your team smoothly through the process of documenting the change, identifying the benefits, the priority and impact of each change, handling the change approval process and even allowing the inclusion of additional supporting documentation for the change such as revised budget information, technical specification documents from your technical team, or business case backup documentation from you or your customer.
